Bulk Archive Requests

Clear out finished requests in bulk from a flow's Table view — archived requests leave the list but can be restored at any time.

Bulk Archive Requests lets an Administrator clear a batch of finished requests out of a flow's Table view in one action, instead of dealing with each row separately. Archived requests drop off the list but are not deleted — you can show them again with a filter and restore any of them at any time. Use it when a flow's request list has filled up with completed work and you want the view to show only what's still active.

Archive two finished requests in one step

When a flow has accumulated requests that are already approved or otherwise finished, the Table view gets long and hard to scan. Selecting several rows and archiving them together clears the list in one pass, and nothing is lost — archived requests can be brought back later.

  1. Sign in to ApproveThis as an Administrator.

  2. Open the flow whose finished requests you want to clear out — the example uses Purchase Requests.

  3. Click Table to switch the flow dashboard to its Table view.

  4. Select the checkbox on the first finished request you want to archive; each row has its own checkbox, labelled with that request's ID (Select/deselect item a2869893-2709-4bbe-9783-35fc191f5f8c for bulk actions. in the example screenshots).

  5. Select the checkbox on the next request you want to archive (Select/deselect item a2869892-b772-441d-af12-aba9842da01e for bulk actions. in the example screenshots), and keep selecting rows until every request you want out of the list is checked.

  6. Click Archive selected.

  7. Click Confirm to archive every request you selected.

The archived rows drop out of the list, and the requests still showing keep their own archive action — in the example screenshots the remaining row reads New Request Approved Aug 17, 2026 11:01 AM Archive.

Show the archived requests

Archived requests are hidden from the Table view by default, so you need the filter to confirm something was archived or to find a request you want back. This is also how you check what has been cleared out without changing anything.

  1. Click Filters to open the Table view's filter options.

  2. Turn on Show Archived so archived requests are included in the list.

Archived requests reappear in the list with a restore action instead of an archive one — in the example screenshots the row reads New Request Approved Aug 17, 2026 11:01 AM Restore.

Restore an archived request

If a request was archived too early, or you need it back in the active list to review it, restoring puts it back exactly where it was. Archiving is reversible, so a bulk clear-out is safe to do.

  1. On the archived request you want back, click Restore.
