Flow Watchers

Let a teammate follow a flow — they're emailed about its requests without being an approver or having to act on anything.

Flow Watchers lets a team member follow a flow and receive email about its requests — when they're submitted, approved, or denied, and when comments are posted, an approver approves a step, or a revision is requested — without being an approver or having to act on anything. Anyone who can view a flow can watch it themselves from the flow's Settings > Notifications area; Administrators additionally get a Watchers panel there for adding or removing other team members. This guide covers adding a teammate as a watcher, so you'll need an existing flow open and a teammate in your workspace to add. Watchers are available on all tiers.

Add the teammate as a watcher on this flow

Use this when someone — a finance lead, a project owner — needs visibility into a flow's requests but shouldn't be in the approval chain. Adding them as a watcher emails them about that flow's request activity without giving them anything to approve; the requester is excluded from watcher emails so they don't get duplicates. Only Administrators see the panel for adding other people as watchers.

  1. Sign in as an Administrator — the panel for adding other people as watchers only appears for admins.

  2. Click Notifications to open the flow's notification settings.

  3. Click Search for an approver to open the member picker.

  4. Type part of the teammate's name or email in Search for an approver to narrow the list — the example uses Priya.

The watchers panel now reports 1 member, confirming the teammate is following the flow.
