Inline File Previews

Approvers see the attachment, not a filename — images and PDFs preview right inside the approval email, with the file a single click away.

Inline File Previews render uploaded files inside notification emails instead of as bare download links. When a request includes a file or multiple-files field, the approval email shows an image thumbnail or PDF preview alongside the filename, size, and a download button, so approvers can see the attachment without leaving their inbox. This guide is for requesters submitting a request with an attachment. You'll need a request form that includes a file upload field, and access to the inbox where the notification lands.

Attach a file and see it previewed in the approval email

When you send a receipt or document for approval, an attachment named as a filename alone gives the approver nothing to judge — they have to download it first. Submitting through a form with a file field means the approval email carries an inline preview of images and PDFs, with the file a click away. Note that non-previewable file types always fall back to a download link, and .eml files are attached as downloads in email rather than previewed inline.

  1. Sign in as the requester.

  2. Enter the amount the request is for in Amount — the example uses 380.

  3. Attach the file you want the approver to see to Drag & Drop your files or Browse — the example uploads sample-receipt.png.

  4. Describe what the spend covers in What was purchased — the example uses Catering deposit — client workshop lunch.

  5. Click Submit.

  6. Open the email inbox where the notification is delivered.

  7. Click Approval Request Received to open the notification and view the attachment preview, with the filename, size, and a download button.

The notification arrives in the inbox with the subject Approval Request Received, and opening it shows your attachment previewed inline.
